AI transformation partner

We find where AI pays. Then we build it and run it.

We help startups and growing companies identify where AI actually pays for itself, then build it, deploy it, and run it with your team. Diagnostic first. Readout in 72 hours.

Our approach

Helix takes a company from AI experiments to an operation that runs on it.

Workflow first, AI second. We map how the work moves before anything is built, then identify, build, deploy and run only the pieces that pay for themselves. Every action drafts behind your approval from day one, and we report against your numbers, not our slides.

AI that actually ships.

Layer 01 · Diagnose

The 72-Hour Diagnostic

One 90-minute recorded session, then the readout three days later: the map, the three things to build first, each one priced.

The problem

You bought the tools. The work still runs the old way.

Most companies have tried the obvious fixes. None of them changed how the work gets done.

01

The pilots never reached production

A demo worked well in a meeting, then sat unused. Nobody carried it past the proof of concept into daily work.

02

Tools bought, workflows unchanged

The tool arrived knowing nothing about the business and forgot everything between sessions. The work still happens the same way it always did.

03

Nobody mapped the work first

The automation went in where it was easy, not where it paid. The expensive steps are still done by hand at 9pm.

04

Nobody owns adoption

No one is measured on whether the tool gets used, so it quietly stops getting used. The build was never the hard part.

05

The board wants a plan

Leadership is being asked what the company’s AI plan is, and there is no map to point to. A slide deck is not an answer anyone can act on.

The problem is not your team. It is the work nobody wrote down. That is what we map. That is what we build.

We are not the 200-slide roadmap, the AI tool that never stuck, the pilot that never left the demo, or the AI SDR that blasts your list. Workflow first, AI second.

How we work with you

A system in your tools, not a deck in your inbox.

The build lands where the work already happens, on terms written down before it starts.

Your tools. Your approval queue. Your numbers.

  • Every action drafts behind your approval until that action type earns autonomy on a low override rate
  • Built on Claude, Slack, Cal.com and your existing CRM and mail layer
  • The baseline is set the day the diagnostic is paid
  • Nothing to migrate. We plug in where the work already happens

Credited in full. Scope fixed in writing.

  • The $2,500 diagnostic credits in full to the build
  • Scope and price are fixed in writing before any build starts
  • Full refund if the readout maps under $10K of recoverable value
  • Documented handover: you own the system and the code

The engagement

Three steps, and what lands in each.

In that order, with the terms shown at every step.

Step 01 · Diagnose · 72 hours

We find where AI pays for itself.

One 90-minute recorded session with leadership and the people who do the work. Three days later you get the readout: what to build, in what order, and what each piece is worth.

The 72-Hour Diagnostic

  • The 90-minute recorded session
  • The map of how work moves
  • The three things to build first, each priced
  • The number behind each, in hours handed off and leads no longer dropped
  • Two or three working proof-of-concepts on dummy data, each with a price tag, so you choose between things you can click, not slides
  • The readout in three days
  • You keep the map either way

Step 02 · Build · from two weeks

The modules, highest payback first.

Every module is built in your tools and priced in the readout, then shipped one at a time, highest payback first.

What we build

What gets built

  • Intake. Every enquiry answered and qualified inside the first ninety minutes.
  • Follow-up. The ladder that runs while the team is heads-down.
  • Pipeline. One board the whole team can read.
  • Win-back. Leads contacted once and dropped, re-worked.
  • Investor update. Drafted from the numbers, not a day of anyone’s time.
  • Proposal drafting. Drafted against the map, not from a blank page.

How it is built

  • In your tools: your CRM, inbox, calendar, billing and data
  • Every action drafts behind human approval from day one
  • Proof of concept first, then production
  • First module live in about two weeks, then one module at a time, highest payback first
  • Each module priced in the readout

What you own

  • The system
  • The code
  • The documented handover

Step 03 · Run · monthly

We run it with you, and hand it over.

The system stays live, watched and tuned. New modules land as the company grows, and the handover is written from day one.

The build is the small part. Getting the team to actually use it is the rest, and that is what Run is for.

How the run works

  • Monitoring and tuning
  • New modules as the company grows
  • Usage checked at weeks 2, 4 and 8
  • Every action is checked against its real result before it counts
  • Quarterly re-diagnosis
  • Documented handover: you own the system and the code
Works inside the tools you already run. Nothing new for your team to learn.

leads a music school had paid for, contacted once, then dropped

  • We read four spreadsheets against each other and found a show-up rate of zero that nobody had calculated.
  • We built a second brain, one dashboard, and the follow-up and win-back modules that now work the list.

“We ran 70 students on WhatsApp messages and memory. Now I open one dashboard and see the whole school, and my teachers manage their own classes without asking me.”

One ladder

The price is on the page.

Not a $500 look-over. Not a free workshop. A priced map with a number behind it.

$2,500

Diagnose · 72 hours

Credited in full to the build. You keep the map either way.

Build

From two weeks

Scoped and priced in your readout, on your modules and your numbers.

Run

Monthly

Priced on the work, agreed before it starts. Documented handover.

If the readout does not map at least $10K of recoverable value in the business, you get a full refund. Scope and price are fixed in writing before any build starts. The full breakdown is on the pricing page.

Fit

Who this is for.

For you

  • Startups and growing companies, 5 to 200 people
  • Leadership wants AI in the operation, not in a deck
  • You tried tools and pilots and none of them changed the work
  • You want the work mapped and priced before anything is built
  • Larger companies are scoped case by case, on the same three steps

Not for you

  • You want AI inside your product. We build the operation around it.
  • You want a slide deck. We build and run the system.
  • You want it handed over without a 90-minute session with the people who do the work.

FAQ

Asked on real calls.

What do we get in 72 hours?
One 90-minute recorded session, then the readout three days later: the map, the three things to build first, each one priced, and the number behind each. It costs $2,500, credited in full to the build, and you keep the map either way. If the readout does not map at least $10K of recoverable value in the business, you get a full refund.
Do we have to rip out our tools?
No. We build inside the stack you already run: your CRM, inbox, calendar, billing and data. Nothing to migrate. We plug in where the work already happens.
What if an agent gets something wrong?
Every outbound action is a draft your team approves until that action type earns autonomy on a low override rate. You see everything before it sends and access is revocable in one click. Two things are hard limits: agents never move money, and nothing goes to a new contact without a person approving it first.
Who owns what afterwards?
You do. The system is plain files in your own accounts and you own the code. The handover is documented, so if we part ways the system and its runbooks stay with you.
What if we already tried AI and nothing stuck?
That is the normal starting point. Stalled AI projects die the same four ways: nobody mapped the real work first, the scope was never priced, nothing validated the output, and the tool forgot everything between sessions. We map the work first, price each module in the readout, check every action against its real result, and build the system so it remembers what the company knows.
